Since May 2018, there has been new and additional legal protection put in place to protect your personal data.  The following not only tells you how your information is dealt with by Kerry Coppen owner of Rahanni-Reflex Healing Therapies but also includes your rights to how it is processed.

THE PURPOSE OF PROCESSING CLIENT DATA:

 

In order to give a professional complementary treatment.  I need to gather and retain potentially sensitive information about your health.  I will only use this information for informed treatments and associated recommendations (within the realms of my profession)  concerning aspects of your health and well-being.

I will also take basic contact details and information via this website to allow me to contact you when arranging/rearranging/cancelling appointments.  With your further permission or at your request via the website or verbally, I may also email you offers and discounts as part of my emailed newsletter which will be sent out periodically.


Lawful basis for holding and using client information:

 

As a full member of the above mentioned, I abide by their Code of Conduct and Ethics.  

 

The following covers the lawful basis under which I hold and use your personal information.

In order that I can provide you with the best possible treatment,  I need to obtain and retain your information including medical history, for my records so I can treat accordingly. 
My requirement to hold your information is due to the following legal reasons:

 

Insurance
Law regarding children's records:
The Complementary and Natural Health Care Council (CNHC) requirements to retain information.

As I hold special category data (I.e health-related information) the Additional Condition which I hold and use this information is for me to fulfil my role as a health care practitioner bound under the AoR, CNHC and ACHO  confidentiality as defined in their Code of Practice, Conduct and Ethics.

 

INFORMATION HELD AND HOW IT IS USED.

 

In order to give professional treatments.  I will ask for and retain the following information about your health.

This information is used to ensure I carry out a safe and effective therapy treatment and offer any further elevant advice as a result. 
 

Your contact details.
Medical history and other health-related information.
Treatment details and related notes made after each consultation.

None of your information will be shared (unless required for legal process) without your explicit consent.


YOUR INFORMATION IS RETAINED WITH ME FOR THE FOLLOWING PERIODS:

ADULTS: 

7 years after the last treatment 
 

CHILDREN: 

7 years after the child reaches the age of 18 
 

PROFESSIONAL REGISTRATION COMPLIANCE:    

8 year requirement for CNHC

I am committed to ensuring that your personal data is secure.  In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information I collect from you.

 

I will contact you using the contact preferences you give me in relation to:

Appointment times
Treatment information and that related to your health.
Service updates and Newsletters which may include discounts/offers.

To see your therapist's records of your personal information, so you know what is held about you and can verify it.

To tell your therapist to make changes to your personal information if it incorrect or incomplete.

THE RIGHT TO ERASURE (ALSO THE "RIGHT TO BE FORGOTTEN"):
For you to request your therapist to erase any information they hold about you.

THE RIGHT TO RESTRICT PROCESSING OF PERSONAL DATA:
You have the right to request limits on how your therapist uses your personal information.

THE RIGHT TO DATA PORTABILITY:  
Under certain circumstances, you can request a copy of personal information held electronically so you can reuse it in other systems.

THE RIGHT TO OBJECT:
To be able to tell your therapist you don't want them to use certain parts of your to information or only to use it for certain purposes.
Rights in relation to automated decision making and profiling.

THE RIGHT TO LODGE A COMPLAINT WITH THE INFORMATION COMMISSIONERS OFFICE:

To be able to complain to the ICO if you feel your details are not correct, if they are not being used in a way that you have given permission for; of when they are being stored when they don't have to be.

WEBSITE VISITOR TRACKING:

Like most websites, my site uses Google Analytics (GA) to track user interaction. This  data lets me know the number of people using my site, to better understand how they find and use my web pages and to see their journey through the website.

Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to me. GA also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this.


MY WEBSITE BLOG:

Should you choose to add a comment on any of my website blog posts, the name and email address you enter with your comment will be saved to this website’s database, along with your computer’s IP address along with the time and date that you submitted the comment. 

This information is only used to identify you as a contributor to the comment section of the respective blog post and is not passed on to any of the third-party data processors detailed below. Only your name will be shown on the public-facing website unless the supplied email address is linked to any associated account which in this case your profile photo may also be displayed.

Your comment and its associated personal data will remain on the site until I remove the comment or remove the blog post.

Should you wish to have the comment and its associated personal data deleted, please email me here using the email address that you commented with.

If you are under 16 years of age you MUST obtain parental consent before posting a comment on our blog.


THERAPIST'S RIGHTS:

If you do not agree to me keeping records of information about you and your treatments or if you do not allow me to use your information in the way I need to for your treatments then I may not be able to treat you.
As already mentioned above, I am required to keep your record of treatment for a designated period which may mean (even after a request from you to delete your record) we will need to retain such information until the required retention period has passed.
I can move/transfer my clients' records between my computers and IT systems (ensuring your details are protected from being seen by others) without your permission

 

CHANGES TO THIS PRIVACY POLICY:

There may, from time to time be amendments to this Wix website and my business's privacy policy, inline with legislation or industry developments. I will not explicitly inform my clients or website users of these changes but will encourage you to check this page occasionally for any changes and updates.
